2/14/09 : Entry deadline.
We're checking into the various NE-area dropoff points. Some concern over scheduling pickups at the more distant locales was voiced, especially regarding a newer guy down in Rhode Island that wants to add his store to the list. Ideal spot for folks mailing entries is Wade's. Though we didn't explicitly talk about it, Worts may bring their own entries to the entry extravaganza so long as they have registered the beers online before the deadline. Any beers turning up after the completion of the entry extravaganza (Wort or otherwise) will have to be ignored by the competition. Sorry.
2/22/09: Entry Extravaganza.
This will take place at Wade's house, 11AM-4PM (or until we're done). The club will supply pizza or some other suitable lunch for folks helping. Essentially this is exactly what it sounds like: when all the entries are processed and prepared for judging.
2/??/09: Pre-judging.
Based on entry numbers, we may need to schedule a prejudge session for a number of flights. We'd need space for several tables (and have to be able to bring beer in, obviously)...if you know of such a space that might be available that week, feel free to chime in. Based on recent years this may not be necessary at all, and probably wont be more than one judging session in length if it is necessary.
2/28/09: BHC
We'll need everyone that can come to judge, steward, and otherwise help out (cellaring and etc...). Lunch will be provided as will some sort of breakfast. Various swag for people helping on the day is being rounded up.

We also touched on medals, trophies, office supplies, score sheets, entry labels, pull sheets, style guidelines, and the overall flighting information. Also some details on management of the beer registration data and the onsite fiddling with same. Wade volunteered to inventory our existing cups, water pitchers, and office stuff from 2008 and fill in where needed. I will arrange for some bread to appear on the day (and at prejudging, if we do that). Alastair has volunteered to handle the ordering of 2009 trophies and medals.
Mark is handling the necessary website updates and the format of the output file for the entries and will also handle the call-for-judges alerts through the various outlets.
Case boxes: anyone with access to case boxes and six-pack holders, please grab and hold on to them. Then transport same to the entry extravaganza. Ideally, the heavy cardboard models with flush-closing tops...but anything that can securely hold a case worth of beer will do. And, yes, we need a lot of these. The more the merrier.
